St. Mary’s University has partnered with the National Student Clearinghouse (NSC) to offer our students the ability to order transcripts online and have transcripts created and sent electronically. St. Mary’s University only releases complete transcripts to students. Current students can access an unofficial transcript via Gateway. The Registrar’s Office does not provide copies of transcripts for work done at other institutions. Please resolve all financial obligations to St. Mary’s University that may prevent you from obtaining transcripts.
Official Transcripts — Official transcripts are printed on blue security paper, have the seal of St. Mary’s University, the date and signature of the University’s Registrar. Electronic transcripts through the NSC are considered official certified PDFs.
Unofficial Transcripts — Unofficial Transcripts —Unofficial transcript for currently enrolled students is accessible via Gateway. Former students may request unofficial transcripts via the Unofficial Transcript Request Form. Unofficial Transcripts are printed on plain white paper and state “Unofficial”. Maximum of one copy.
Official Transcripts — Official transcripts are $10 per transcript.
You can order your transcripts online via the NSC website. The site will walk you through placing your order, including delivery options and fees. You can order as many transcripts as you like in a single session. A transcript fee will be charged per recipient. If there are documents that need to be attached with your transcript, you may upload up to two documents electronically with your order.
Requests for official transcripts may also be made in writing with the student’s signature either in person or by mail or fax. You may also email the scanned transcript request form to email@example.com. We cannot accept transcript requests over the telephone. Request forms are also available in person in the Registrar’s Office.
Processing Time for Transcripts
Transcripts can be picked-up, mailed or be electronically sent. Allow one to two days for processing a picked up or mailed order transcript. During peak periods such as registration and graduation processing times may be delayed. Electronic transcripts requested through the National Student Clearinghouse will be processed within one business day. You can order and/or track your transcripts 24 hours a day, 7 days a week through the NSC website. Transcript requests needing research or with attachments will be sent between two to three business days. We do not fax official transcripts.
Picking Up Official Transcripts
Transcripts selected for pick up will be available after 1:30 p.m. one to two business days after the request is made. You must present your Rattler ID card, if you are a current student, or a photo ID if not a currently enrolled student. Transcripts must be picked up within 30 days of being processed or they will be discarded.
If a student wishes to have someone else request and/or pick up a transcript, we must have written authorization from the student. The individual requesting and/or picking up the transcript should bring some form of photo identification so we can verify the identity of the individual.
Mailing of Official Transcripts
Standard delivery of transcripts is by first class U.S. mail. Students who wish to have their transcripts sent via FedEx will be required to create a FedEx account number and provide us with the package service desired. Please provide the complete street address and phone number for the destination. Realize that FedEx will not deliver to post office boxes. Visit FedEx for pricing information.
If there is a hold on your student account, the Office of the Registrar cannot process your transcript request until the hold is resolved. Regarding requests received via mail, email, or fax, the student will be contacted of any holds. NSC request will notify the student immediately of any holds. After holds have been resolved, please contact the Registrar’s Office for transcript processing. After 30 days, any transcript requests with holds will be cancelled. Holds can be cleared by contacting the office(s) that place the hold.
