About the Registrar’s Office
St. Mary’s University Office of the Registrar will assist you with gaining access to your academic information, including official transcripts, even after graduation. Here, you will find information on class registration and advising, degree plans, academic calendars and schedules, as well as details on preparing for graduation and commencement exercises. If you need to be readmitted to the University, information about the process and the application can be found on the Readmission page.
Registration

Academic Calendar
Check the Academic Calendar for dates, including when classes start, the last day to register or when to add a class. If you encounter an error, email us at registrar@stmarytx.edu.

Registration
Students who attend classes at St. Mary’s must be officially registered for a course. Learn more about registration requirements.

Course Catalog
The Academic Course Catalog holds all information related to academic programs, course descriptions, degree programs and degree completion policies.
How to Register for Class
- Meet with your adviser listed in GPS and receive your registration pin number. For assistance, email academic.advising@stmarytx.edu.
- Check for any holds and contact the Business Office, Student Health Center or Registrar’s Office if necessary.
- Check the class prerequisites and make sure that you meet the requirements. For assistance, email registrar@stmarytx.edu.
- Visit the Academic Calendar to make sure you register before the closing date.

Official transcripts can be ordered online on the St. Mary’s Transcripts webpage.

Records
Many of our services are available on our internal portal, Gateway. Check your records or view guides, forms and more resources for students.
Graduation and Degrees

Graduation
Prepare for commencement. Confirm that you fulfill all the graduation requirements and apply for graduation so that you are ready to walk the stage during commencement.

Diplomas
Submit your diploma information and learn more about distribution. If a diploma is lost or destroyed, a replacement diploma may be ordered.

Transfer Credit

Transfer Credit
Students who would like to take courses, including summer courses, outside St. Mary’s must submit a Permission to Take Courses for Transfer Credit form in Gateway. For information on courses for which you are allowed to transfer credit, see the Transfer Credit page.

Academic Policies

Withdrawing and Cancellations
Withdrawal From a Course
Before withdrawing from a course, students are highly encouraged to discuss the implications of the course withdrawal with their academic adviser. If the course withdrawal will change registration status (i.e., Full-time to Part-time), you should also consult with the Office of Financial Assistance.
To withdraw from a course, there are two options:
- Withdraw from a course online via Gateway
- Submit an Add/Drop form (located in the Registrar’s Office)
Once a student withdraws from a class, a confirmation email of the course withdrawal is sent to the student, their primary academic adviser and the course instructor.
Change my Major
Be sure to include the following information in your email:
Rattler ID number, full name, current major and/or minor and the major and/or minor change needed. Students should not put their ID number in the email subject line.Undergraduate Students
Undergraduate students can email the Registrar’s Office directly to change their major, or add a second major or minor. Undergraduate students must also copy (cc) the Office of Academic Advising at academic.advising@stmarytx.edu to receive a new academic adviser.
Graduate Students
Graduate students requesting to change concentration in their current program can email the Registrar’s Office directly at registrar@stmarytx.edu. Graduate students requesting a change of program need to contact the Office of Graduate Admissions at graduate@stmarytx.edu.
Readmission

Readmission
All former students who have been away from St. Mary’s for one or more fall or spring semesters must file a formal application for readmission.
