Any award that bears the University’s name and or advances the St. Mary’s mission and its Catholic and Marianist identity is subject to approval by St. Mary’s Executive Council. This includes awards and recognitions established by any University unit (school, division, department, office) or registered student organization.

Registered student organizations included in this policy are primarily, but not limited to, entities receiving University funding and other fiscal resources, such as the Student Government Association, Student Bar Association, University Program Council, Rattler Newspaper, Board of Advocates, The Scholar, St. Mary’s Law Journal, etc. 

Proposals for establishing new awards and recognitions must include the following:

  • Identification of the unit responsible for oversight of the recognition and selection process
  • Source of funds to support the award or recognition and its associated administrative costs (stipend, recognition, event, recipient travel and accommodations, etc.)
  • Purpose of or basis for the award or recognition
  • Frequency in which the award or recognition would be presented
  • Activity at which the award or recognition would be presented
  • Qualifications and eligibility requirements for candidates or nominees
  • Nomination procedures for the award or recognition that include a timeline, selection process and selection committee or individual
  • Periodic review of the award or recognition and its established process

Approvals for award and recognition nominations must follow the University’s current approval process — Speakers, Dignitaries, and Awards and Recognitions Approval Form.

Award and recognition plaque* designs must follow St. Mary’s brand guidelines and be approved by the Office of University Communications. (In this policy, *plaque represents any item given to the recipient that represents the award or recognition, such as a trophy, plate, cup, medallion, certificate, etc.)
