Transcript Request Information

St. Mary's University policy only allows complete transcripts released to students. The Registrar's Office does not provide copies of transcripts for work done at other institutions.

Avoid situations that prevent the Registrar's Office from processing a transcript request:

  • Be sure you sign your transcript request.
  • Be sure you resolve any financial obligations to St. Mary's University that may prevent you from obtaining transcripts.
  • Be sure you complete the transcript request form in its entirety.
  • Be sure you have no outstanding academic or disciplinary matters with St. Mary's.
  • Be sure you include sufficient, accurate, and legible identification information.
  • Be sure you provide sufficient payment information.

Transcript Frequently Asked Questions




What is the difference between an Official and an Unofficial Transcript?

Official transcripts for students who attended St. Mary's University during the 1970s on are printed on blue paper with the school seal, date and the Registrar's signature. Official transcripts for students who attended St. Mary's prior to the 1970s are printed on white paper with the school seal, date and the Registrar's signature. Official transcripts are typically required by Colleges and Universities, and by many school districts, employers, and scholarship foundations.

Unofficial transcripts are printed on white paper and stamped "Unofficial Issued To Student" in red ink. If the transcript is for your own personal use, an unofficial transcript should be sufficient.

Is there a fee for transcripts?

Official transcripts are $3.00 per transcript. However, if you order five or more transcripts at one time, you do receive a discount. Official transcripts are then $2.40 per transcript. Unofficial transcripts are $1.00 per transcript. If you are in need of more than one unofficial transcript, we recommend you simply run copies from the transcript we provide you. This will save you some money. Transcript fees are non-refundable.

The Registrar's Office can accept payment for transcripts in the form of cash, check or money order (made out to St. Mary's University), and credit card (MasterCard, Visa, Discover and American Express). If you wish to mail in your transcript request, please do not sent cash.

***The Registrar's Office will not process a transcript without payment.***

How can I place an order for an official transcript?

Requests for official transcripts must be made in writing with the student's signature either in person or by mail or fax. We cannot accept transcript requests over the telephone or via e-mail. Request forms are available in the Registrar's Office and on the Registrar website.

How can I place an order for an unofficial transcript?

Unofficial transcripts can be printed immediately in the Registrar's Office assuming the student has no outstanding obligations with St. Mary's University that would prevent him/her from obtaining an unofficial transcript. Currently enrolled students must present their St. Mary's identification card when requesting unofficial transcripts. Former students can present their driver's license.

If you are unable to request an unofficial transcript in person, you may also submit a request to the Registrar's Office by mail or fax. You may use the transcript request form on the Registrar website.

Keep in mind that current catalogs can be viewed/printed from the Registrar website.

In Person

If a student wishes to make the request in person, please be aware our hours of operation are Monday - Friday 8:00 am - 5:00 pm during the Fall and Spring semesters and Monday - Friday 8:00 am - 4:00 pm during the Summer sessions. When requesting transcripts in person, currently enrolled students must present their St. Mary's identification card. Former students may present their driver's license. If a student comes to the Registrar's Office after hours, we have a supply of request forms and envelopes at the self-service counter just outside the Registrar's Office. Please fill out a request form in its entirety, enclose with payment in one of the envelopes provided, and deposit the request in our office door slot. If requesting a transcript after hours, exact change is required when paying with cash. The Registrar's Office is located in St. Louis Hall room 104.

By Mail or Fax

If it is an inconvenience to make the request in person, you may also obtain a request form from the Registrar website and either mail or fax the request to the Registrar's Office with payment. If mailing the request, we ask for payment by check, money order, or credit card. If faxing the request, we must have payment by credit card. As always, please be sure you fill out the request form in its entirety before submitting the request to the Registrar's Office. Requests will not be processed if any of the information is missing. If students are requesting a transcript to be mailed to a school, please include the complete name and address of the recipient including the department at the school (i.e. Undergraduate Admissions).If faxing request, please call to verify that request was received and completed.

If students do not have access to the web, we can also accept a transcript request in the form of a letter. Please include the following information:

  1. Full name and any former names
  2. Social Security Number and/or St. Mary's Identification Number
  3. Current address, home telephone number, work and/or cell number (if available)
  4. Date of birth
  5. E-mail address (used to send confirmation that request was received and processed)
  6. Date of birth
  7. Dates of attendance/graduation
  8. Number of transcripts (official or unofficial)
  9. Pick up or mail service (if mailing, give complete name and address of recipient)
    ***If the transcript is going to the student, please specify if the transcript should be placed in a sealed envelope. Transcripts in sealed envelopes are stamped "Issued to student in sealed envelope". When requesting this service, students are asked not to break the seal upon receipt of the transcript. Open transcripts are simply stamped "Issued to student". Please keep in mind, many schools will not accept a transcript that has been issued to the student.***

What is the processing time for an official transcript?

Upon receiving an official transcript request, the Registrar's Office typically requires 1-2  business days for processing. If requesting pick up service, transcripts will be available after 1:30 p.m. 1-2 business days later.   Currently enrolled students must present their St. Mary's identification card when picking up transcripts. Former students may present their driver's license. If requesting mail service, transcripts are mailed in the afternoon.

***During busy registration and graduation periods, the Registrar's Office requires more time to process transcript requests.***

Students may obtain a transcript of their work completed at St. Mary's provided they have satisfactorily met all university obligations. If an office places a hold on a student's transcript, the student must first make arrangements with that office before the Registrar's Office can release the transcript.

Do you send official transcripts via FedEx?

Standard delivery of transcripts is by first class U.S. mail. Students who wish to have their transcripts sent via FedEx will be required to pay by credit card (Visa, Mastercard, American Express, or FedEx Account Number). Please provide the complete street address and phone number for the destination. Realize that FedEx will not deliver to Post Office Boxes. Visit FedEx on the web for pricing information. How can I confirm that my official transcript request was received and processed?

It is our policy to send a confirmation to the student's e-mail address when a transcript has been sent. Consequently, it is very important that students indicate their e-mail address on their transcript requests. (If students do not provide an e-mail address, the Registrar's Office will send a confirmation to the student's mailing address.) We will also contact students by e-mail if their transcripts are placed on hold.

Does the Registrar's Office fax transcripts?

The Registrar's Office can only fax unofficial transcripts. In addition to $1.00 for the unofficial transcript, we also charge a $5.00 non-refundable faxing fee. When requesting fax service, please give us the name of the individual or organization we should indicate on the attention line of the fax.

Can I authorize someone else to pick up my transcript?

If a student wishes to have someone else request and/or pick up a transcript, we must have written authorization from the student. The individual requesting and/or picking up the transcript should bring some form of photo identification so we can verify the identity of the individual.

How can I request course descriptions?

The fee for course descriptions is $1.00 per course description. If you are unable to request a course description in person, please send us a written request, either by mail or fax, with the following information:

  1. Full name and any former names
  2. Social Security Number and/or St. Mary's Identification Number
  3. Current address, home telephone number, and work and/or cell number (if available)
  4. Date of birth
  5. Dates of attendance/graduation
  6. Course name(s), number(s), and semester(s) taken
  7. Pick up or mail service
  8. Signature
  9. Payment

How can I obtain an Apostille?

St. Mary's University does not prepare Apostille, but may assist you in obtaining such certification of authenticity. Upon request, the Registrar's Office will require in writing from the student a request for notarized documents. For further information, please visit our Procedures for Obtaining an Apostille page.
