Grade Report

From the Mailbox to Gateway

St. Mary's students are encouraged to retrieve their grade information from Gateway. instead of waiting for a grade report to arrive in the mail. Gateway allows students to view not only their grades, but also their course schedule, projected bill, and so forth.

For help with Gateway, please call (210) 431-HELP.

The Office of the Registrar understands that some students may still require a grade report, perhaps to be reimbursed by their employers. Consequently, we will continue to render the service of printed grade reports as needed. Requests must be submitted in writing to the Office of the Registrar no later than the last day of the semester for which the student requires the grade report. For your convenience, request forms are available in the Office of the Registrar, St. Louis Hall 104, and also on our forms page. This process must be done each semester a student requires a grade report.

Pass/No Pass (Undergraduate Only): The grades P and NP are marked for courses taken for "Pass/No Pass" credit. P indicates "pass" and is equivalent to a course grade of C or better. NP indicates "failure to pass" and the student is not entitled to credit for the course or the hours assigned to it. "Pass/No Pass" and Audit arrangements must be made at the time of registration, and are non-changeable after the first week of a Fall or Spring semester. The P/NP option is mandatory for internships and practice teaching and for Applied Music courses. Major and minor courses may NOT be taken P/NP. The P/NP option may be used for electives and cannot exceed 12 hours.

Withdrawal: The grade W signifies official withdrawal from class; WF, withdrawal failure; WX, withdrawal in the last month by special permission of the Dean of the School; TF (technical failure), no longer used, but used prior to June 1994 for courses dropped without notification to the Registrar.

Failure: An F indicates failure; when this grade has been received, credit can be obtained only by repeating the course at St. Mary's.

No Credit: An NC grade signifies No Credit; registration administratively canceled.

Not Reported: An NR grade signifies that a grade was Not Reported by the teacher, or turned in after grades were posted. An NR is not a final grade.

In Session: An IS indicates that the course is In Session.

Grades submitted to the Registrar are based on class work, tests, and final examination, combined in such proportion as the instructor in charge of the course in question may decide. Class standing in the course, moreover, is determined by the regularity of the student's attendance at lectures (and laboratory or other similar exercises), by recitation grades, written assignments, laboratory work, etc.

Grades of F, WF and TF are equal to 0 quality points and do affect the Grade Point Average.

Grades of I, IP, IS, NC, P, NP, NR, W and WX have no quality points associated with them and hence are not included in the computation of the Grade Point Average.

Undergraduate Incomplete Grades

An Incomplete grade indicates satisfaction in the course but failure to do a portion of the work assigned. The deficiency must be remedied as prescribed by the instructor within 30 days of the date of issuing reports. The instructor then assigns a grade or it becomes a permanent F. An Incomplete grade received by a student in his/her graduating semester must be made up three weeks prior to the date of graduation; otherwise, graduation will be delayed until the next official graduation date. IP is given only for those courses that by their nature require more than a semester to complete (e.g., senior projects, internships).

Graduate Incomplete Grades

An instructor may submit an IP or IC in lieu of a grade when a student has been unable to complete all of the assignments in a course, provided the student's work was otherwise satisfactory. An IP, given only for theses, practica, and internships, remains in effect until the work is completed. The IC is given for a regular course in which the work has not been completed. The IC must be completed within six (6) months from the ending date of the semester. For example, if the IC is assigned in the Spring semester ending May 11, 1999, it must be completed by November 10, 1999. If the IC is not completed, a grade may be assigned as appropriate. If no grade is assigned, the incomplete will remain on the transcript permanently as IC. The Dean of the Graduate School may extend the six-month period.

Law Incomplete Grades

At the request of a professor, a grade of "I" or "Incomplete" may be entered temporarily for a student who for some legitimate and compelling reason has not completed the course requirements (e.g., an exam postponed due to illness or other good excuse). The work not finished on time must be completed within 60 days of the last day of the examination period in which the course was offered. In the event that a student does not complete all course requirements within the time required, the "I" or "Incomplete" automatically will be converted to a withdrawal and the student will receive no credit for the course. In such a case, the withdrawal will be treated as if the student had voluntarily withdrawn, and no tuition payment for the course will be refunded. The faculty member who requested the "Incomplete" may petition the Associated Dean for Academic and Student Affairs for an additional, specific period in which the student may complete the course requirements, but such an extension will not be granted except in compelling circumstances. Graduate Credit

The grade of A is superior, B is good, and C is marginal. Grades D and F are unsatisfactory. Grades of S, satisfactory, or U, unsatisfactory, are given for dissertations, theses, internships, and practica.

Graduate credit at St. Mary's will be given for grades A through C and S, according to the scale listed above and restrictions listed below.

  • Student must achieve a cumulative GPA of 3.00 for all graduate work to graduate.
  • No more than six semester hours of grades below B- will be accepted toward a degree.
  • All graduate work in the major field must have a B average.
  • All graduate work in the minor field must have a B average.
  • A minimum grade of B- is required for all core courses in the following majors: Computer Information Systems and Psychology.
  • S or U grades are not calculated in the grade-point-average.

Repeated Courses (Undergraduate/Graduate/PhD)

A comment is placed below the repeated course, **Repeated**. The repeated course that replaces it has the comment, **Replaces a Prior Course**. From this semester forward, the cumulative GPA reflects only the repeated course. In effect, the earlier course remains on the transcript, but is no longer included in the cumulative GPA. The change does not affect the academic status, Probation or Suspension, of the original semester. For further information contact the Graduate School.

Retaking Courses (Law School)

A student who fails a required course must retake and pass the course. The student need not retake the required course from the same professor. The failing grade remains on the student's transcript and will be average with the grade received after retaking the required course.

A student who fails a course that is not required does not have to retake it. As a general rule, the administration neither requires nor permits the retaking of courses that are not required by the faculty for graduation. A student or professor seeking an exception to this rule must obtain the Dean of Law School permission. A student who enrolls for ("retakes") a course without written approval earns no credit in the subsequently taken course and the grade received in that course is not used for any other purpose. How to Compute Your Grade-Point-Average (GPA) in Three Easy Steps

  1. Assign a quality point to each grade:

    Remaining quality points may be viewed under above {grading system}.

  2. Multiply: Quality Points x Number of Semester Hours earned in the course. The second digit of each course number indicates the number of semester hours the course carries. e.g. EN 1311--second digit is a 3; therefore, course is a 3 semester hour course.
  3. Add the total number of quality points and divide by the total number of semester hours earned.
