As a member of the Student Life Office team, the Administrative Assistant for Student Activities and Transition Programs is responsible for performing the secretarial, clerical and supportive tasks in order to assist the Director and staff in providing efficient, friendly and courteous service in the office.  An attitude of service to students, faculty, staff and visitors is absolutely essential.

Essential Functions:

Provide a friendly and professional environment in Student Life Office Foster a team approach and maintain good relations within Students Activities and Transition Programs, the Office of Student Life, the Division of Student Development,  and other University offices and departments Handle all incoming calls and visitors in a professional and courteous manner that promotes and maintains a spirit of helpfulness, and follow up appropriately Working closely and communicate with all other support staff in Student Life area in order to stay well informed of all current events, programming, other important information and determine front desk coverage Assist director with supervision of budget operations by supporting and/or managing budget processes such as: check and cash requests, deposits, reimbursements, travel authorizations and expense reports, credit card reports and expense reallocations, budget files, and expense forecasting Maintain budget reconciliation files in MS Excel format Keep office files up to date to include maintaining files on confidential materials for the office as needed Coordinate and make appointments for the Director and department staff using Microsoft Outlook Coordinate and supervise the department’s student workers (including training and timely/accurate reporting of payroll) Maintain forms and other needed resources available in the front office area Manage the upkeep and organization of the Student Life Office copy/work room Maintain general inventory and ordering of office supplies for Student Activities and Transition Programs, including paper for copier Process and deposit money for various transactions for department on a daily basis Manage and coordinate mail services and hand deliveries for Student Activities and Transition Programs Other duties as assigned

Educational Requirements: A high school diploma or GED required; a Bachelor’s degree is preferred.

Other Qualifications:  To perform this job successfully, an individual must be able to fully perform each essential duty.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

Excellent written and oral communication skills.  Ability to speak, read and/or write in Spanish is a plus. Advanced knowledge of Internet use, Microsoft Office word processing, email, scheduling system, spreadsheets and database management; knowledge of Banner system is a plus Must be able to function effectively and efficiently in a fast paced environment Must demonstrate strong organizational and prioritization abilities in the work place Possess a professional attitude and excellent customer service skills Accounting background preferred Demonstrated ability to work in a diverse environment Ability to operate office equipment such as copier, fax, etc. Ability to work Monday through Friday 8am-5pm Flexibility to work some evenings and weekends as needed Successful completion of skills testing and background check

SERVICE COORDINATOR

Non-Exempt, Full Time.  To provide professional, courteous service to all members of the St. Mary’s University community including students, faculty, staff, and guests of the University.  Also, to coordinate the services provided by the Office of the Registrar to our public, and assist Registrar Office staff members with their duties, projects and responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.

Provide accurate information and direction in person, via email and over the telephone to students, faculty, staff, and various guests of the University in regard to their specific needs. Respond to the needs of and assist our various publics at the service counter…creating transcripts, printing schedules, processing registrations, accepting verification requests and Add/Drop forms, process change of information requests, classrooms requests for non-academic events. Assist with imaging of documents. Create publications (signs, brochures, letters, and memos) on behalf of the Registrar’s Office. Act as supervisor to College Work Study students.  Create their work schedules each semester, verify and submit student timesheets, provide training and guidance, allocate their time to various staff members for assistance. Coordinate registration, roster, and submission of grades with the schools participating in the Inter-Institutional co-operative agreement (Oblate School of Theology, University of the Incarnate Word, Our Lady of the Lake University). Maintain inventory of office supplies, forms, and paper stock for the office. Process the daily transcript list in the absence of the Records Coordinator. Assist the University Registrar with his/her responsibilities.  (e.g. office budget, creating memos, coordinating the Registrar’s schedule and planning meetings, maintaining and creating new folders for committees and projects, communicating room reservations with University Police, Information Technology and Housekeeping) Request work orders Assists with priority registration reports and activities Assist with the preparation of Commencement. (e.g. maintain count of students participating, manage commencement ticket distribution, and prepare commencement materials (line up signs, line up cards) prior to ceremony) Assists with the production of the University academic calendar Perform other related duties incidental to the work described herein

MINIMUM REQUIREMENTS:

Must be organized and detail oriented. Should be able to manage multiple tasks and prioritize projects. Able to manage time and complete tasks in anticipation of upcoming need as determined by the progression of the academic year. Proficient with use of Microsoft Office. Excellent verbal and written communication skills. Ability to quickly learn the Banner administrative system,  EMS course management and BDMS imaging system used by the University community. Comfortable enforcing University policy and regulations Excellent customer services standards and an understanding of what is required to maintain those high standards, and maintain a positive, cooperative attitude.

EDUCATION:   High School Degree.  Some college or equivalent work experience preferred.

ENGINEERING TECHNICIAN

QUALIFICATIONS: 

Minimum 2 years of relevant experience in electronics, power systems, computers, and mechanical testing; Team-oriented with excellent interpersonal, online, verbal and written communication skills; Proficient in Microsoft Word and Excel; Self-starter who can work with minimum supervision and can handle multiple tasks under tight deadlines promptly and efficiently.

ASSISTANT PROFESSOR OF THEOLOGY

The Department of Theology of St. Mary’s University of San Antonio, TX, invites applications for a tenure-track position in systematic theology at the rank of Assistant Professor, beginning in August 2012 and continuing until the position is filled. An ordinary course load is 12 hours per semester. A strong commitment to teaching excellence and a dedication to scholarly research are required. Typical topics (graduate and undergraduate) would include Christology, Church, and Sacraments. Summer teaching is available. Participation in advising and other non-teaching duties is expected. With seven tenure-track faculty supported by visiting and adjunct faculty professors, the Department of Theology provides a course entitled “Foundations of Reflection: God” as part of the core curriculum of the University. This course, along with an upper-level theology course, is a required for all undergraduate students. It is also possible for members of the Department to teach additional core courses, such as “Foundations of Civilization,” and “Civic Engagement and Social Action.”

The Department of Criminal Justice & Criminology invites applications for an Assistant Professor tenure-track position to begin in the 2013-2014 academic year; salary will be commensurate with qualifications and experience.  The Department of Criminal Justice and Criminology offers a B.A. in Criminal Justice, a B.A. in Criminology and a B.A. in Forensic Science.  The department is committed to excellence in teaching and scholarship. 

The successful applicant must have a Ph.D.  in Criminal Justice or Criminology or a terminal degree in a related field.  Experience in forensic science is essential.  Faculty members are expected to demonstrate excellence in teaching, evidence of scholarly research and involvement in university and/or community activities.  The ideal candidate will be a generalist with the ability to teach a range of courses including, but not limited to: crime scene investigation, forensic criminology, forensic victimology, sex crimes, violent crimes, forensic lab techniques and statistics.  A typical teaching load for the Assistant Professor of Forensic Science may include four courses per fall and spring semesters.  Duties will include serving as academic advisor for the forensic science majors and administering the forensic science internship course.
